Role Summary
Service Coordinator works as an integral part of our EU Service business. Providing administrative support to the Helpdesk team, Sales team, Service technicians, Onsite service team, Regional Service Manager and Finance.
Support all administration functions across the varied areas of our department.
The role requires a dynamic personality; able to multi-task, be pro-active, think quickly on your feet and have a good eye for detail.
Duties and Responsibilities
Maintenance & support contract and renewals administration
- Maintain a service contract tracker
- Communicate information on contract renewals and changes as required to the service delivery teams and Account Managers
- Follow up with Sales teams on proposals to ascertain status
- Keep records / reporting up to date
Presales support
- Respond to Maintenance & Support quotation requests from Sales Teams, Helpdesk & Regional Service Manager
- Liaise with local / regional partners as well as the Global Deployment team, gaining quotations where required to support proposal
Team Administration
- Managing and updating service team training tracker
- Maintaining staff holiday and on-call support tracker
- Assisting with overtime calculations
General Administration
- Assisting team with invoices, POs and billing in the ERP system (currently SAGE)
- Maintain and update filing system on Sharepoint
- Assisting service team with RMAs and product repairs management
- Generating Welcome / 1 yr Warranty and Renewal letters and dispatching via email to clients
- Maintain spare parts and loan equipment tracker
- Produce monthly reporting as required (internal and external)
- Maintain any required reporting / tracker
- Providing administrative cover for other Service roles, contracts & on-boarding
- General administrative support
- Any other duties as assigned by Management according to QMS.

You will be able to effectively interact with employees, customers, and colleagues and demonstrate the ability to successfully handle multiple tasks / projects. Other characteristics should include attention to detail, accuracy when inputting data, strong written and oral communication skills, and good problem solving skills.You have to have a strong customer focused ethos and work well as part of a team.
You must have very good English and German written and spoken skills.

Working Hours: This role is a 40-hour week, Monday to Friday. Typical daily hours will be
08.00 - 17.00 or 09.00 – 18.00
